Initiator

The initiator identifies the need for a change and sets the wheels in motion by submitting a detailed change request document.

To initiate a new change control request, click the "+ Create" button in the top right corner.

Change control initiation form will open. From the dropdown menus, select the appropriate values for Change Control priority, "Change Control Type" "Department.", project name and Change Control purpose Then, enter the estimated closure date and provide a detailed description of the proposed change and the existing process/procedure in the free-text fields.

a) Save change request as draft

To save the change control request as a draft, click "Save as draft".

The request will appear under "Change Control Draft."

You can edit the draft by clicking on it, make any necessary changes, and click "Save as draft" again to save it. Alternatively, you can choose to initiate the change control process by clicking "Initiate." You can also delete the draft by clicking the delete icon.

b) Initiating the Change Control Request

Click "Initiate" to submit the change control request for review and approval. Once initiated, the request will appear under "Change Control Initiation".

You can either click the change request to add more details or assign the request to another user.

To assign the request to another user. Click the "Assign" button associated with the change request. A drop-down list with only users configured as initiators in your organisation will appear. Select the desired assignee from the list. Enter any comments relevant to the assignment in the "Assign Comments" field. Click "Assign" to finalise the assignment.

Clicking on a change request will open the form, allowing you to view and edit its details. Click "Add Associated Change List" to link associated changes.

Use the drop-down menu to select a change request you want to associate. Once a change item is selected, add the reference number and description for that.

Click the "+" icon to add additional associated changes. Click the "-" icon if you desire to remove any associations you've already added.

Click "Add Link Requests" to link this request and other relevant requests.

The "Link Change Requests" section allows you to establish relationships between this change request and other relevant requests. In the lookup box, enter the request number of the change request you want to link. As you type, the system might provide suggestions from existing requests. Select a reason for linking the requests from the dropdown menu. In the "Link Description" field (which might be optional), you can provide additional context or details about the relationship between the linked requests.

Click the "+" icon to add additional associated change requests. Click the "-" icon if you desire to remove any associated change requests you've already added.

Click the "Upload Documents" button to attach any relevant documents required for the change control process. From the "Select Assignee" dropdown menu, choose the desired reviewer who will be responsible for evaluating the request.

Click "Save" to save the request for further editing later.

Click "Submit" to formally submit the request to the assigned reviewer. Once you click submit enter your credentials in a pop-up window to authenticate the submission.

If a reviewer routes any requests back to you, they will be marked with a "route back" symbol.

To download, print, or export the Change Control Initiation and Change Control Draft list, click the three vertical ellipses on the right side of each table row. This will reveal icons for these actions. Click the icon corresponding to your desired action.

b) Initiating the Change Control Request

Click "Initiate" to submit the change control request. Once initiated, the request will appear under "Change Control Initiation".

You can either Click on a change request to add more details or assign it to another user.

To assign the request to another user, Click the "Assign" button associated with the change request.

A dropdown list containing only users configured as initiators in your organization will appear. Select the desired assignee from the list. Enter any comments relevant to the assignment in the "Assign Comments" field. Click "Assign" to finalize the assignment.
